ABOUT FIREFLY AEROSPACE

Firefly Aerospace is a space and defense technology company that enables our world to launch, land, and operate in space – anywhere, anytime. As the partner of choice for critical space missions, Firefly is the only commercial company to launch a satellite to orbit with 24-hour notice and the only company to achieve a successful Moon landing. Our launch vehicles, lunar landers, and orbital vehicles provide government and commercial customers with full mission services from low Earth orbit to the Moon and beyond. Headquartered in north Austin, Texas, Firefly is looking for passionate, hardworking innovators to join our team and help fuel our successful trajectory into space.

Summary

We're looking for an Executive Assistant to support our VP of Engineering, who leads an organization of 400+ engineers across Propulsion, Electrical, Mechanical, Aerospace Software, Systems Engineering, and Materials and Process. This role is the operational backbone of the engineering front office and extends support across the broader Engineering and Operations organizations. You'll own a complex, fast-moving calendar, keep priorities clear and visible, and act as a trusted point of contact for executives, customers, and partners. The right person anticipates needs, handles ambiguity calmly, and looks at every repeated task as something that could run itself.

This position will be equally onsite in both our Briggs, TX facility and corporate office in Cedar Park, TX

Responsibilities

·        Manage a dense, frequently changing calendar, prioritizing competing requests with sound judgment

·        Own meeting mechanics for the VP: build agendas, gather materials, attend meetings, take notes, and drive action items to closure

·        Coordinate executive reviews, staff meetings, offsites, and program milestone events

·        Plan domestic and international travel, including itineraries, logistics, and expense reports

·        Support leaders across Engineering and Operations with scheduling, coordination, and special projects as priorities require

·        Draft and edit correspondence, presentations, and internal communications, including the monthly Engineering newsletter and quarterly Engineering milestone reviews.

·        Track organizational initiatives, hiring pipelines, and key deadlines, and flag risks early

·        Identify recurring administrative work and build automations to eliminate it, using AI tools, workflow platforms, or lightweight scripting

·        Set up and maintain simple pipelines for reporting, meeting prep, action tracking, and status rollups

·        Coordinate onboarding logistics for senior hires and support recruiting schedules

·        Handle confidential personnel, financial, and export controlled information with discretion

·        Support facilities and seating coordination across Firefly buildings as the organization grows

Qualifications

Required

•      5+ years supporting a VP level executive, ideally in aerospace, defense, or a high growth technical company

•      A sharp eye for detail and a habit of due diligence; you double check the work so the executive never has to

•      Exceptional organization and follow through; you close loops without reminders

•      Strong written and verbal communication, with the judgment to know when to act and when to escalate

•      Hands on experience using automation tools to streamline workflows

•      Ability to support multiple leaders and organizations while keeping each one's priorities straight

•      Composure under pressure and flexibility when priorities shift hour to hour

•      Proven discretion with sensitive information

Desired

•      Comfort writing or adapting basic scripts (Python or similar) to automate routine tasks is a strong plus; you don't need to be an engineer, but you enjoy figuring out how things work

•      Familiarity with Atlassian tools, including Jira and Confluence

•      Experience in an ITAR regulated environment

•      Background supporting engineering or technical leaders

•      Event planning or program coordination experience

Why Firefly

You'll sit at the center of an engineering organization flying real hardware to orbit and the Moon. The pace is fast, the work matters, and the person in this seat directly shapes how effectively 400+ engineers are led.

Firefly offers outstanding benefits for our employees, including generous health, dental and vision plans with low plan deductibles, parental leave, relocation benefits, educational reimbursement, short term disability, and flexible PTO options.

To conform to U.S. Government space technology export regulations, including the International Traffic in Arms Regulations (ITAR) you must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.
